Creating New Communications
Time required: 3-5 minutes to create a communication
Prerequisites:
Active Captured Knowledge account
Team with configured support email address
Expected results: After reading this guide, you will be able to create cases from phone calls, physical mail, and other non-email communications, ensuring all issues are tracked in one system.
A tenant calls at 4:55 PM on Friday about a clogged drain. You jot it down on a sticky note, planning to create a case Monday morning. Over the weekend, the note gets buried under papers. Monday comes, another tenant calls about the same drain - now overflowing. "Did anyone report this before?" your colleague asks. You have no idea.
The Create New Communication feature prevents lost reports. Phone calls, physical mail, and in-person conversations become proper cases immediately - searchable, assignable, and trackable just like email-reported issues.
What is this feature?
The New Communication feature creates an email-formatted record of non-email communications and sends it to your team's support inbox. Once there, the system processes it just like any other incoming email—creating cases, suggesting workflows, and assigning team members automatically.
Use this when:
A tenant calls about an issue instead of emailing
You receive physical mail that needs to be documented
Someone reports an issue in person
You need to create a case from any communication channel other than email
How it works:
You fill out a form describing the communication
System creates an email-formatted record with all the details
Email is sent to your team's support address
System processes it like any incoming email (creates case, suggests actions)
Optional: System sends acknowledgement email to the contact
Step-by-Step Instructions
1. Access the New Communication Screen
Navigate to the Create New Communication page from your team's main menu.
2. Describe the Issue
Issue Description (Required): Enter a detailed description of the reported issue. This becomes the main content of the case.
Example:
Tenant reported heating not working in Apartment 4B.Issue started yesterday evening. Tenant mentionstemperature is around 15°C in the unit.
Additional Notes (Optional): Add any extra context, follow-up information, or internal notes.
Example:
Tenant called at 14:30. Sounded concerned aboutelderly parent living in the unit. Requested urgentresponse.
3. Assign to Team Member
Assignee (Required): Select who should handle this case:
Specific team member: Choose a person from the dropdown
Automatic Assignment: Leave blank to use round robin assignment (see Round Robin Case Assignment)
If you select a specific assignee, the case will be assigned to that person when created. If you leave it blank, the system will automatically assign based on your team's rotation settings.
4. Link Properties or Buildings (Optional but Recommended)
Use the Real Estate data grid to search for and select relevant properties or buildings:
To select properties:
Use the filter controls to search by building number, unit number, or address
Select checkboxes for relevant properties or buildings
System will link these to the created case
Alternative: If you don't know the exact property, you can simply enter the contact information and address in the fields below. The system will attempt to match them automatically when the case is created.
5. Enter Contact Information
Contact Name: Name of the person reporting the issue
Contact Company Name: Company or organization (if applicable)
Contact Email Address: Email for correspondence
Required if sending automatic acknowledgement
Optional otherwise, but recommended for follow-up
Send acknowledgement email: Check this box if you want the system to automatically reply to the contact when the case is created, letting them know their issue has been received.
Contact Phone Number: Phone number for follow-up calls
Property Address: Full address of the affected property
System will use this to find matching properties if you didn't select them above
6. Attach Files (Optional)
Add up to 5 files related to this communication:
Photos of the issue
Scanned documents
Supporting materials
Click Choose Files or drag and drop to add attachments.
7. Submit the Communication
Click the Submit button at the bottom of the form.
What happens next:
System creates an email containing all the information you entered
Email is sent to your team's support inbox
System processes the email (usually within 1-2 minutes)
A new case is created with the information
If selected, automatic acknowledgement is sent to the contact
Case appears in your cases list, assigned to the specified user (or automatically assigned)
Understanding the Results
After submission, you'll see a success message:
"New Communication has been submitted! You should receive an email at your company's support email address shortly."
Within 1-2 minutes:
New case appears in your cases list
Case title comes from the Issue Description
Case is assigned to selected user (or automatically assigned)
All linked properties/buildings are connected to the case
Attachments are available in the case
If enabled, contact receives acknowledgement email
Common Use Cases
Documenting a Phone Call
Scenario: Tenant calls about a leaking pipe.
Steps:
Open Create New Communication
Issue Description: "Tenant reports leaking pipe under kitchen sink in Apartment 12C. Water pooling on floor. Issue started this morning."
Additional Notes: "Tenant called at 10:15. Requested same-day service if possible."
Select property using data grid (search for Apartment 12C)
Enter tenant's contact information
Check "Send acknowledgement email" to confirm receipt
Assign to on-call maintenance coordinator
Submit
Result: Case created and assigned, tenant receives confirmation, maintenance team can see full details.
Recording Physical Mail
Scenario: Property owner sends written complaint by post.
Steps:
Open Create New Communication
Issue Description: Copy the content from the letter
Additional Notes: "Received by physical mail on [date]"
Select relevant building
Enter owner's contact information from letterhead
Scan the letter and attach as file
Submit
Result: Complaint is documented in the system, can be tracked and responded to like any other issue.
In-Person Report at Property Office
Scenario: Tenant visits office to report noise complaint.
Steps:
Open Create New Communication while tenant is present
Issue Description: Document the complaint details
Select tenant's property
Enter or verify tenant's contact information
Check "Send acknowledgement email" so tenant receives confirmation
Submit while tenant waits
Show tenant the confirmation message
Result: Issue is immediately in the system, tenant leaves knowing it's been documented.
Tips for Best Results
Be specific in descriptions: Include date/time the issue started, severity, and any immediate concerns.
Always link properties when possible: Using the data grid to select properties ensures the case is connected to the right location and contacts.
Use automatic acknowledgement for tenant confidence: Checking this box ensures the contact knows their issue has been received, reducing follow-up calls.
Include attachments: Photos and documents provide valuable context for the assigned team member.
Choose assignee thoughtfully: If it's an urgent issue, assign to someone specific. For routine matters, automatic assignment distributes workload evenly.
